iBlaze: is a case management program that allows you to globally search, analyze, and augment your case. Imagine taking your case of boxes or files and dropping them into the software.
iBlaze provides a centralized location and access to transcripts, exhibits, pleadings, e-mails, documents productions, witness files, exhibit lists, chronologies, mini-presentations, electronic highlighting, redacting, and bates numbering all at your fingertips.
Simple tools are provided to make notes on your transcripts, excerpt or highlight testimony, code your testimony to legal or factual issues, link to deposition exhibits, and contradictory testimony. Video clips can be created with a click. Realtime deposition feeds are part of the system as well.
Review and analysis of the discovery is easily accomplished with tools to ensure consistent entries, time-saving searches, and robust production sets. Documents can be easily exchanged without the paper trail and taken on the road as well. It is common for a firm to explore Summation for managing large cases however, you will become accustomed to having everything at your fingertips and will want even the small case with one deposition transcript or a couple of key documents accessible in Summation.
Summation is one of the few tools on the market that maintains the family structure between an electronic document and any attachment. They can be easily reviewed and retrieved to meet the e-discovery requirements.
In addition, the Case Explorer tree is unique in that it provides tools to search across an entire case at one time rather than different modules that comprise a case which is crucial and time saving in the heat of the moment.
After you have successfully made the transition from managing the evidence manually to managing litigation with technology, promote your new practice to your clients or potential clients. This is a marketing tool. They will appreciate that their counsel is current with the trends and will agree that your efforts are saving them time and expense.
WebBlaze: provides web-based access to Summation case data stored on a Summation LAN/network system in a secure environment. By providing a secure user name and password, WebBlaze can offer the remote user full access to the data or via the Administrator's Console only certain components. For example, the documents can be reviewed, while related work product associated with them can be locked down. When changes are made to the case remotely, the changes are automatically refreshed on the Local Area Network in the office. The WebBlaze interface is similar to iBlaze; it is simple and easy learn. WebBlaze is used well for those that need to be trained quickly and do not need the full functionality of iBlaze.
In considering whether or not WebBlaze is right for you, identify if:
- It would benefit anyone working on the case to access it remotely?
- It is necessary to share information across multiple offices? or
- Share information with people who don't have Summation software, (i.e., experts, corporate counsel);
- Tiff Conversion
- Coding
While the WebBlaze user has many of the same tools as iBlaze, it is browser based and not as robust as iBlaze. Therefore, it is not an option for an end user that loads data, creates briefcases, creates production sets, etc.
WebBlaze is sold in bundles of five seats. Since WebBlaze sits on its own server and points back to the server in your office where Summation is sitting, the two products can only work with each other. In other words, you cannot have WebBlaze without iBlaze.
Enterprise: Enterprise has the same user interface of iBlaze but a different engine. Enterprise is installed on a Microsoft® SQL Server which may not mean much to a staff member in your office. However, anyone that is managing your network will be very aware of its capabilities. As we move forward with electronically stored information, "ESI" - you will continue to find yourself in a situation either early on in the case (hopefully) or in the throws of it (usually), trying to identify if you have the tools in-house to accommodate the case needs, or if it will be outsourced?
Enterprise leverages the SQL database to handle large voluminous cases. For example, having a case with 50 GB of ESI can possibly be culled down during the processing phase by conceptual searching, searching for key words, date ranges, file types, etc., to perhaps 10 GB of data. This case will exceed the case size limitations of iBlaze. Cases are going to be a combination of paper discovery that will be scanned and ESI for years to come. As a work around, you can either break up the case into separate files or find a reliable out-sourcing solution. By breaking up the case in-house into several small cases, you will lose functionality since the litigation teams will be working in a 'piece' here and a 'piece' there, instead of a fully integrated area like they are accustomed to. A case with 10 GB of data is a conservative size and if hosted over the web with a subscription based service, the cost is estimated at about $20,000.00 annually, and that's just for one case.
The attractive traits of an in-house Enterprise solution include:
- No case size limitations
- SQL speed, performance, reliability, administration and security;
- A pool of licenses that can be configured to meet your daily needs with respect to Network, Mobile and WebBlaze users. This way you don't need to determine any further, "how many network vs. mobile licenses do we need?" You can change the configuration as needed. You also have the added value of WebBlaze which is the browser based version of Summation - a great tool to provide experts, co-counsel, or even your client's access to a secure copy of the case. Of course it can be used as an alternative to Citrix or Terminal Services;
- No backup, check, pack, and blaze. These utilities are scheduled to run across the SQL servers and saves the staff billable time since they are not required to exit so many times throughout the day;
- End Users can stay in the case during loading;
- No learning curve as the interface is the same as iBlaze;
With respect to the upgrade we can work through running your current iBlaze configuration side by side with the Enterprise system for an agreed amount of time. CT Summation provides a services team to visit on-site and assist you with migrating the data. They also bring your in-house support staff up to speed with the differences in the administrator console. Additionally, the Enterprise solution can be managed from the main office while allowing satellite offices to access the data via Citrix or Terminal Services, OR the data can sit locally on a server in their office. Finally, your current assets don't go to waste as they can be traded in as a credit toward your upgrade.
In summary, Enterprise gives you everything. In considering whether or not it is appropriate, keep in mind that you must also have the support staff and infrastructure in place to manage the data.
